Update from Marlton Recreation Council

Dear MRC Sports Families,

2020 has been unlike any we have ever had since the conception of the MRC in 1958. As most of you are aware, the MRC is a non-profit organization that is run solely by volunteers, with no additional funds, from the township, taxpayers or otherwise, for the purpose of providing youth sports to the children in Evesham Township. Income is generated through registrations and donations for our seventeen sports and 7,000 athletes. The MRC runs off the backs of over 1,000 volunteers, one paid employee and is governed by the Executive Board, each sport in turn, has their board of leaders who help manage the daily operations of that sport.

Due to the pandemic that caused an interruption to our Spring Season, a new focus came to light about how to navigate the balance of the short and long term sustainability of the MRC and to ensure that the health and safety of our children and families was paramount.

The administration of youth sports occurs even before a child walks onto a field. This planning involves a majority of non refundable, upfront costs for the operation of the sport. These administrative costs include:
Bookeeper fees
Audit processing fees
State and federal tax preparation costs and fees
Fees related to the maintenance of our non-profit status
Legal fees
Coaches background checks
Facilities costs
Registration system
Credit card transaction fees
During the registration process, approximately, $30 of each child’s registration is earmarked to cover these administrative costs.

Additional sport specific expenses; (the costs that each individual sport incurs and pays before the season) includes:
Insurance Policy
Uniforms and Equipment
Facilities and Rental of facilities for in-door use
League fees
This is a snapshot of both administrative and sport expenses, there are others, as this is not an inclusive list.

To ensure that we would be viable after the pandemic is over, the MRC Executive Board began the labor intensive process of accessing costs and identifying funds for a potential refund to families. In order to do that, the Executive Board reviewed the budgets that each Spring Sport Commissioner submitted. After reviewing income and loss, the refund amount was determined. All sports are responsible for their own budgets, incomes, expenses and discretionary spending, as approved by each individual sport’s board. Detailed monetary breakdowns were sent by each sport commissioner to the spring registrants.

In an effort to further secure the organization’s financial stability, the Executive Board has continued to identify cost cutting measures in regards to our Administrative expenditures. The MRC has to pay a yearly fee of $25,000 for use of the township facilities. We are currently in negotiations to reduce that amount. Another cost cutting measure is the migration to TeamSnap as our registration platform. As the Executive Board looks to streamline spending, we asked the individual sports to do the same.

Since the majority of Spring sports were cancelled, we began the manual process of refunding approximately 2,000 registrations, all processed through quarantive by our one employee. While our goal was to have refunds processed quickly, credit card company policies required us to add more steps to the process. We apologize for any delays or inconvenience, however the system is not build for the mass refunds we had to process.

The operations of a non profit organization this large are complex and as members we are striving for the greater good. In the end, players want to play and coaches want to coach.
